General Information
We are excited to support Meadows’ third annual 6th grade overnight field trip. Meadows’ 6th graders will spend two days and one night in Flagstaff, Arizona April 23, 2025 – April 24, 2025. While in Flagstaff, students will engage in educational programming at Lowell’s Observatory. In partnership with Meadows’ science teachers, Lowell Observatory staff will lead students through lessons including viewing the nighttime sky, learning about discoveries made at Lowell’s Observatory, a new interactive theater experience and expanding their knowledge of matter, energy, the solar system and the universe. Before making their way back to Phoenix students will also be visiting Bearizona. This year students will be staying overnight at Village Camp near Flagstaff. The cost for this field trip is $170 per student.

January 7, 2025 5:30pm – Field Trip Informational Meeting
Have questions about the field trip? Please join us in the Meadows Cafeteria on January 7th at 5:30pm to learn details about the trip and to get your questions answered. There will be an additional meeting for those who are interested in volunteer opportunities afterwards.
January 10, 2025 – Student Commitment and Chaperone Interest Forms Due
Your student’s science teacher has emailed each 6th grade student’s parent or guardian the Student Commitment Form and Chaperone Interest Form. Please complete the Student Commitment Form (and Chaperone Interest Form if interested in chaperoning the trip) by no later than January 10, 2025. January 22, 2025 – All Forms Due
Your student’s science teacher has emailed each 6th grade student’s parent or guardian the forms that are required to attend the field trip. Please print out and complete attachments D-J. Printed forms will also be available in the Meadows Front Office. Attachment K is completed online and does not require a hard copy to be turned in. You can find digital copies of the required forms here. Be sure to fill out ALL questions/blanks on the forms. If your student does not take medications, you must indicate “N/A” and sign the medical form. Hard copies of Forms D-J must be completed and returned to your student’s science teacher no later than January 22, 2025.
January 24, 2025 – First Payment Due
First payment of $85 is due by January 24th. If you prefer you may pay the entire amount of $170 by this date.
To make your payment online, you must go through PowerSchool. Below are detailed instructions:
- Go to PowerSchool parent portal and log in
- Click on “Purchases and Payments” in the menu on the left
- Click on your student’s name. Then click Pay Fines/Fees. You should see a fee for “6th Grade Field Trip Fee.”
- Enter the amount you’d like to pay in the 6th Grade Field Trip Fee category. If you’d like to donate money toward the field trip scholarship fund, via Powerschool you can do that here as well.
- Click the blue Buy button. The fee will be added to your Cart at this time.
- Click the Check Out button in the top right corner to be taken to your cart.
- Once in your cart, you can complete the checkout process by entering your credit or debit card information & clicking on the Submit Payment button.
- You should receive an emailed copy of your receipt upon payment. Forward a copy of your payment receipt to your student’s science teacher and Christine Goodfarb in the front office ([email protected]). Include your student’s name in the subject line of your email. (We will run a payment report on our end, but we suggest you do this as a back-up.)

February 21, 2025 – Final Payment Due

April 16, 2025 5:30 – Mandatory Parent / Guardian Meeting
The Parent / Guardian meeting is mandatory for all students who will be attending the 6th Grade field trip. Details about the trip, including daily schedule, student expectations, lodging information, transportation information, and more will be discussed. Questions can also be asked at this time.
*A mandatory chaperone meeting will take place immediately after the parent / guardian meeting.
April 22, 2025 4:00 – 6:00 pm – Luggage and Medication Drop-Off
All student/chaperone luggage and medication will be dropped off with a volunteer in the correct designated area.
Please follow these instructions when preparing the luggage and medications:
- All student and chaperone luggage must be clearly labeled on the outside of the luggage with the student/chaperone’s name and first period teacher.
- Place ALL student prescription medication in a resealable ziplock bag labeled with the student’s name and first period teacher. Medication must be in the original bottle with the student’s name and directions listed. Please make arrangements with Nurse Crystal ([email protected]) to have your student’s medication transferred to field trip personnel if you intend for your student to bring on the trip the medication already in Nurse Crystal’s possession at school.

April 23, 2025 – Departure Date
Students arrive at school as usual and go to their 1st period class for check-in. Do not send backpacks. Send students with a brown bag packed lunch (no items requiring refrigeration – must be able to throw away all contents following the meal).
April 24, 2025 – Return Date
Buses will return to Meadows at approximately 4 pm. Please make the necessary arrangements for your student to be picked up at Madison Meadows. All luggage must be picked up at this time as well. Students are not allowed to walk or bike home.
Help Make This Trip a Success
Here are a few options:
- Donate. Help fund a scholarship for a student in need. Student scholarships ensure that financial limitations do not prohibit any student from participating. If you are able to fund a full or partial scholarship Go to Powerschool to help fund a scholarship. You can also donate directly to PTM to help us cover additional costs. Your business can also sponsor the trip. Donate a minimum of $250 and your business logo will appear on the field trip t-shirt. Business donations can also be made through PTM.
- Volunteer. A variety of volunteer opportunities are available. From helping collect and organize snacks to helping fundraise and more. Contact our field trip committee chairs Kendra Caputo and Valerie Perez at [email protected].
- Chaperone. Want a chance to be in on the fun and spend time with your child? Apply to be a chaperone for the trip! Complete this form to apply. Applying does not guarantee that you will be chosen to chaperone.
